How to Maximize Your Personal Productivity

In 1897, an Italian economist Vilfredo Pareto observed a pattern in the distribution of wealth among citizens no matter the country or time period concerned.  He found that the distribution was extremely skewed toward one end:  A small minority of earners always accounted for a large majority of the total wealth.  Pareto’s theory was tested, forgotten, revived, proven, and eventually adopted in the United States and Europe during the 1960’s as the “80/20 rule.”

The 80/20 principle has been applied to many disciplines and basically states this:  80 percent of results come from 20 percent of effort.  While the formula is not 100 percent accurate, it is amazingly close and I have read many examples where it was dead on.  In dentistry, I often talk about “Top 20 patients.”  This refers to that 20 percent or so of patients who are responsible for approximately 80 percent of the practice’s revenue for a given year.   Any business can apply this principle to just about any area of that business.  Eighty percent of the work is completed by twenty percent of the workers.  Eighty percent of your inventory comes from twenty percent of your suppliers. As an average individual, 80% of your productivity, comes from 20% of your time.  Take a minute to think about that.  The average worker, 80% of us, spends 8 hours per day on the job, but less than two hours of that is productive time!   You’d be surprised at how many small business owners I share that statistic with and get the response, “Tell me something I don’t know!”

So how can you become one of the 20% of individuals who accounts for 80% of all success?  Identify what you do best, what makes you the most productive, and what provides the greatest value to you and/or your organization.  What are those tasks?  Now identify the tasks you do that could be performed, probably even better, by someone else.  Are there some things that could be eliminated completely?

I find that a lot of companies have employees doing things just because “we’ve always done it that way.”  We maintain the status quo when we could be setting records because our people are spinning their wheels in low productivity, time-consuming, practically worthless tasks.  When we allow people to focus on their top 20 contributions, their creativity is spurred and we start innovating in our industry.  A company is only as strong as it’s people.  This is true whether you are a small business owner working alone, or a Fortune 500 company.

18 Reasons to Love Lists

Recently a client was complaining that he had a difficult time getting his staff to follow check-off lists for important systems that need to be completed in a certain way at specific times throughout the day.

I must say that I am right there with him in his perplexity of what the issue is.  I love lists.  I have a list for just about everything.  I could retire if I had $1 for every time I’ve heard, “Now that’s a shopping list,” at the grocery store.

I have a packing list that I use and keep updated for items I need when traveling.  Everything is on that list.  Being able to follow that list and knowing that absolutely everything I need is on it keeps me calm while I’m packing and helps me get the job completed faster.

The real power of lists, however, comes from what happens in our subconscious minds when we create a list or follow one routinely.  Have you ever had the experience of forgetting your shopping list and yet you remembered everything on it?  Most people just think, “Wow.  I’m good.  See, I didn’t need that list after all.”  So you stop making the list.  Then what happens?  You don’t remember things as well.

Many people, including some psychologists, believe that when we write things down, we’re writing them on our subconscious minds.  Can you think of all the implications this could have?

I, for one, am a firm believer that “writing it down makes it happen.”  And there many other people out there who share my view.  See Write It Down Make It Happen by Henriette Anne Klauser.

In some ways, lists are like pets:  Feed them and they will give you lots of adoration and unconditional love.  (But I can’t remember the last time my cat spouted back to me my top 20 career successes.)

Oh, list. How do I love thee?  Let me count the ways.

I love how you help me remember my important goals in life and yet, at the same time, how you’re not too full of yourself to remind me of the little things, too.

I love how you always want to go everywhere with me and never complain about how much I put on you.

I love how you sit quietly and patiently until I am ready for you.

I love how you clear my head and organize my thoughts.

I love how you help me make my dreams come true.

I love how you can retrieve so much information at my every whim.

I love how you keep me calm by always making yourself available during trying times – like packing a suitcase – and through thick or thin.

I love how you know my hopes, desires, dreams, likes, dislikes, and accomplishments, and yet you never judge me.

I love how your only concern is with me and my needs.

I love how you are always available to me, morning, noon, night, every day, week, month, season, year and beyond.

I love how the only time you fail me, is when I forget you.  But then you always forgive me, and are willing to stay by my side at all times.

I love how you keep track of all my ideas and never laugh at them.

I love your versatility; you can be personal and professional, static or dynamic.

I love how you can mingle my business and personal lives and yet, at the same time, keep them separate.

I love how you help me create systems that lead to my success.

I love how you always come through for me.

I love how you never get jealous of other lists.

I know there are many other ways that I am leaving out.  Ah, but alas, you will eventually remind me!

You Have to Get Dirty

I spend a lot of time on this site talking about cleaning and de-cluttering; two things I firmly believe in.  But a couple of things happened this week that brought to light an important life lesson and that’s what I want to share with you today.

Earlier this week I drove to a local farmer’s produce stand.  This family has a beautiful garden with fresh corn, tomatoes, carrots, onions, watermelon, cantaloupe, etc.  I was actually able to give up my vegetable garden this year because their produce is so wonderful and very dependable.

Not wanting to use their plastic bags, I took my own regular shopping bags that I’ve been using since going paperless.  (I’m also trying to reduce my use of plastic, as well as just overall what I put into landfills – but that’s another post.)

When I told the woman to just start putting what I was picking out into my bag, she exclaimed, “Oh, don’t get that bag dirty – it’s so pretty and clean!”

I tried to explain that I bought it to be used, that I always take it to the grocery store, and that it can be washed if necessary, but nothing was going to stop her – I came home with 5 plastic bags!  She just could not stand the thought of getting that beautiful bag dirty.

Earlier today, I had to fire someone.  He just wasn’t working out and in the exit interview we discussed how we both went into this knowing it might not work out, but we wanted to give it a try.  We tried.  Things didn’t click.  We bailed.  The employee was really good about it.  It’s the only time I’ve ever gotten to the end of a termination and received a hug!  (Yeah – he was that glad to be let go!)

Both of these experiences have reminded me of a paradigm I’ve held for a long time:  You learn by doing.  You live by getting the bag dirty and enjoying every minute of it.  Children get it – they have the most fun when they’re getting really good and dirty!   We adults need to re-learn that lesson.  Don’t buy something new just to save it for special occasions.  The dust mites don’t deserve it – you do!  Don’t be afraid to try a job you’d like to go after for whatever reason.  Even if things don’t work out you’ll learn some valuable lessons that will propel your life forward.

Sure, you might have some cleaning up to do, in fact, you probably will have a lot of cleaning up to do, but isn’t that what this journey is all about?

So, go ahead – get that bag dirty!

New Blog at WebDMD.info

I am very excited to announce the debut of a project I’ve been working on for some time now with my husband:  WebDMD.info.

It’s a blog about dental issues from all angles, clinical to financial.  We’re hoping it will become an educational resource for patients all over the globe, as well as help us connect with our local community.

Eventually, we’ll offer the products that we sell in our office online, so that patients can order and have them delivered to their home.  We have many patients that drive from up to 3 hours away so ordering online would be a tremendous time and money-saving feature for them.  We also have seniors who don’t drive and have a difficult time finding a ride, as well as patients who work in a neighboring town who would enjoy the convenience of online ordering.

As you can probably imagine, we get many of the same questions from different patients over and over again, every single day.  Not that that bothers us by any means – don’t get me wrong – in fact, when I was answering the phone, I was relieved when someone asked a question I already had the answer for – it was a relief!  But after 27 years in dentistry and of answering those same questions day in and day out, my husband decided it was time for someone to make the answers available online.

Although we’ve had a website for Flemingsburg Dental Care and an in-house e-mail newsletter for a few years now, this is the first time we will be offering articles like this to the public-at-large.  Our answers will naturally be limited to our experience and the laws in Kentucky.

Like my blog, WebDMD.info will be positive on all fronts and solution-oriented.  Comments are and will remain turned off to avoid too many solicitations and keep my editing requirements to a minimum.  We currently have a list of over 225 blog titles to write, and are adding more every day.  We will add titles as questions come in that inspire us to cover a particular area.

As for this blog, I plan to continue to write 2-3 times per week, re-design the site (in the works), as well as continue my speaking and consulting schedules.  Lots to do!

I hope you’ll check out WebDMD.info and refer to it whenever you have a dental question.

How to Write Your Own Motivational Phrases

There is a magnet on my refrigerator that reads, “Nothing tastes as good as being thin feels.”  I look at it frequently and laugh.  My mother-in-law was just commenting the other day about how she wishes more people would do like she does and diet “when they need to,” and before it gets out of hand.  When she notices that she’s added a few pounds or her clothing feels tight, she cuts back on her food portions for a few days until she’s back down to the weight she wants.

My husband and I do the same thing.  In fact, this seems to be a common strategy among every thin person I know.  (There you have it; the diet secret over half of America is looking for – here’s another one.)

This morning I looked at that magnet and realized that the same concept could really be applied to nearly any aspect of self-discipline.  Whatever it is you’re trying to accomplish, you’ll probably have to “give up” something else in order to get it.  The longer you’ve been struggling with trying to achieve something, the more likely this is to be true.

For example, if you’ve been trying to become an early riser, but nearly every morning the feel of your bed is just too comfortable to overcome, you might need a phrase such as, “Nothing feels as good as getting an early start to my day.”  Think of all the reasons you want to become an early riser and develop a phrase for each of them.  When you go to bed at night, program your mind to think of one of them as soon as you awaken.  You might find that one of them works better than the others, or perhaps a rotation of all of them provide the jump-start you need to get going.  Before long, likely by 21 days, you’ll be an early riser.

You can do this with any goal.  List all of the reasons that you want something.  List all of the perceived obstacles that are keeping you from it.  Then create a phrase that puts the emphasis on doing the thing you really want to do.  Here’s another one.  I want a spotless, clean, sparkling home.  The only thing that keeps me from it is that I like to have time to sit, relax and read.  I use the excuse that I need that time and that it helps with my writing.  (Which is true, but there’s a balance in there somewhere.)  So a phrase such as, “Nothing is more relaxing than sitting down to read in a clean, spotless, sparkling home.”

The great part about this process is that it’s not just an affirmation – which are great, don’t get me wrong – but a phrase like this, especially if you’ve written it yourself, gets right to your motivation, and your true desire.

I have a client who used the “Nothing tastes as good . . .” phrase to lose weight.  I told her she could use that same concept to achieve all of her goals.  Not believing me, but wanting it to be true, we worked together on one of her other goals, which was to save more money.  She knew she was constantly spending money she didn’t need to, making impulse purchases.  When I asked her why she did that, she responded, “Because it makes me feel rich, I guess – I really don’t know.”

Ah, but that was it.  So I had her try this:  “Nothing feels as rich as having money in the bank.”  She loved it!  Every time she was tempted to spend frivolously, she remembered that phrase.  (We printed a card for her to carry in her wallet, but she never needed it. It is, however, a good idea to put the phrase where you’ll see it at the opportune time.)  The result was a large bank account which she eventually invested and is now on her way to financial independence.

Politics in the Workplace

One of the biggest disappointments I get when I take a consulting job working with an organization is all the political work-arounds I have to deal with.  It just drives me crazy.  I usually get around it by telling myself that I am there short-term, I was hired to do a job, and that I will make a difference in the end.

This past week I observed a situation that, after reflecting on many frustrating incidences in the corporate world, made me realize that there are some ways to rise above all the game-playing and mind-numbing banalities.  Ready?

The truly competent individual can be free of politics in an organization if he or she chooses. When you’re really good at what you do, you can rise above politics, and I’ve noticed that this is what the more successful people within a company have done.  Be careful when engaging in water-cooler talk and “making plays.”  It might be back-firing more than you think.  Brain Tracy says, “It’s the mediocrities at work who have to play games and every study shows that although they sometimes succeed in the short-term, they invariably fail when everyone figures them out.”  Looking back on previous situations I’ve been in, I’ll have to agree.  But then I suppose “studies” prove themselves, don’t they?

So how can you become the competent, mediocre-less, on-the-way-up type that you want to be?  Here are two things you can do to assure that you are in the right position.

  1. Do What You Love To Do
    Select your work carefully and if you don’t love what you’re doing enough to want to be the best at it, get out!  It is rare to be successful at a job you don’t like.  Enjoying your work and being good at it go hand-in-hand.  More importantly, your work should excite you and cause you to jump out of bed in the morning.  If it doesn’t, that’s a tip from your inner being that you’re not on the right path.  Flee from the boring or unsatisfying job as you would from a burning building. Working at something you don’t care about is the very best way to waste your life. Remember, this life is not a rehearsal for something else.  Love it; enjoy it – it’s what you came here to do!  If you need help with finding your passion, try reading How to Decide What to Do with the Rest of Your Life.

  1. Work for the Right Company
    One key to getting onto the fast-track is for you to work for the right company and the right boss. The right company is one that respects its people and practices pay for performance. Our employees are on a bonus system that makes them partners in the practice.  (Not from a liability standpoint, just from a profit-sharing perspective.)  The right company is dynamic, growing, open to new ideas, and full of opportunities for people with ambition and initiative.  If you’re happy with your work, but feel stuck in your career, maybe it’s time to steer or jump overboard.  Listen to that voice that’s telling you to have faith and make a change; never listen to the voice of fear, and don’t make decisions based on fear either.

    If necessary, find a new company, possibly one that is just starting up, that would appreciate your expertise.  Be sure that there are lots of opportunities for you to grow, develop and advance in the company. Your future is too valuable to waste where there is no future for you.

Finally, it doesn’t take long of being in a corporate environment to make me want to throw up!  Personally I prefer having my own business, making my own decisions, and the freedom to turn down business when I feel it is morally more right to do so.  I believe America would be a much better place to work in general if we went back to the small, family-owned businesses of yester-year.  Sure, family-owned businesses have their problems, too, but they are much easier overcome and our values were more in line with the well-being of all back then.  I’ll be blogging about this more in the weeks to come.  For today, your assignment is to think about the business you’re in and make some hard decisions if necessary.  Do you love what you do and for whom you’re doing it?  Or are you struggling to play the game?  If you’re playing politics, you’re missing out on so much bliss!

My #1 Success Tip

When I was a computer instructor, one of my favorite things to do was to give my students lots of “tips and tricks.”  Short, simple techniques that were just “cool,” as we said back in those days.

On this website, a blog post lends itself really well to tips and tricks since the articles need to be relatively short, grab the reader’s attention quickly, and definitely offer something of value.

My favorite post and tip that I’ve given here over the past two years is The Motivational Trick that Works - Every Time.  But today, I want to offer something that I’ve learned from the opening of our new dental office.  The concept is what I call “long-term perspective.”

After more than 50 years of research, Doctor Edward Banfield of Harvard University, concluded that “long-time perspective” is the most accurate single predictor of upward social and economic mobility in America. Having a long-term perspective turns out to be more important than family background, education, race, intelligence, connections or virtually any other single factor in determining one’s success in life or at work.

This certainly seems to be true of my husband.  Building a new dental facility in a small town that both meets the needs of the community and provides the state-of-the-art quality of care that my husband insists on seemed almost impossible to us 8 years ago when we got married.  But we kept our “eyes on the prize,” set our goals, managed intermediate steps, and voila – 8 years later, mission accomplished.  (Now our goal is to make it profitable – which will be a later post!)

Brian Tracy says, “Your attitude toward time, your “time horizon,” has an enormous impact on your behavior and your choices. People who take the long view of their lives and careers always seem to make much better decisions about their time and activities than people who give very little thought to the future.”

If you stop to think about it for a moment, that statement makes sense, but it’s not common sense.  Most people go through their life thinking that they just have to take whatever “life dishes out,” or whatever is “in the cards” for them.  While I’m a huge believer and teacher of “one day at a time,” I also know the value of having an overall strategic plan.  Here are 5 ways to develop a future focus.

  1. Think and Write About Your Future
    Successful people have a clear future orientation, and they have their vision of their future written down where they can review it periodically. They think five, ten and twenty years out into the future and develop a plan of action.  Then, they analyze their choices and behaviors in the present to make sure that they are consistent with the long-term future that they desire.  Thinking about your future is an important first step, but you’ve got to write it down as well, so that you have guidance from day-to-day as to what to do next.

  1. Determine the Consequences
    By definition, something that is important has long-term potential consequences. Something that is unimportant has few or no long-term potential consequences. Before starting on anything, you should always ask yourself, “What are the potential consequences of doing or not doing this task?”  The clearer you are about your future intentions, the greater influence that clarity will have on what you do in the moment. With a clear long-term vision, you are much more capable of evaluating an activity in the present and to assure that it is consistent with where you truly want to end up.

  1. Make Success a Top Priority
    If there is a task or activity with large potential positive consequences, make it a top priority and get started on it immediately. If there is something that can have large potential negative consequences if it is not done quickly and well, that becomes a top priority as well.  Whether it’s going back to school, continuing your education in your current field, learning marketing techniques, whatever your frog is, resolve to gulp it down first thing.  Resolve to do at least one thing every day toward your number one goal.

  1. Stay Motivated
    Motivation requires motive. Whatever your goal is, it must excite you.  The greater the positive potential impact that an action or behavior of yours can have on your life, once you define it clearly, the more motivated you will be to overcome procrastination and get it done quickly.  Thinking continually about the potential consequences of your choices, decisions and behaviors is one of the very best ways to determine you true priorities in your work and personal life.  If something doesn’t excite you, your choice is not motivating you and you need to choose something else.

  1. Visualize It Coming True
    I can’t tell you how many times my husband and I talked and dreamed about what this new dental office would look like.  It really is a dream come true and my husband said just last week, “Even though we’ve been in the new building for several weeks now, it just occurred to me that I’m not going to have to leave at some point.  It’s just now starting to feel like it’s mine.”  Is that a “dream come true” or what?

Your Assignment

Review your list of tasks, activities and projects regularly. Continually ask yourself, “Which one project or activity, if I did it in an excellent and timely fashion, would have the greatest positive impact on my life?”

Whatever it is that can help you the most, set it as a goal, make a plan to achieve it and go to work on your plan immediately. Remember the wonderful words of Goethe, “Just begin and the mind grows heated; continue, and the task will be completed!”

Open House was a Hit!

We had our open house for my husband’s new state-of-the-art dental office this past Saturday, June 7, 2008, and oh, what an event!  Nearly 200 friends, relatives, and patients came out to celebrate with us and since many of them are avid readers of my blog, we decided that this would be a good place to showcase some photos of some very important and special people.

It was a fabulous day, thanks to all of you.  We are very proud to be located in Flemingsburg, serving those in Central and Eastern Kentucky.  We appreciate our team, without whom this business, let alone this new office, would not be possible.  Our sincere gratitude goes out to all of our patients, family members, and friends, and especially to those of you who drove from up to three hours away to be with us, (and do so on a regular basis!)  We love and adore you all!

Calling all Dental Office Personnel

If you work for a dentist and have ever entertained the thought of starting a blog, but didn’t feel that you had the time or skills necessary, I have good news.  I am getting ready to start a dental office personnel online community.  This is for employees only, no dentists, not even employee dentists.

I am first looking for writers who would maintain their own topics and serve as moderators for their own groups.  If you have a passion for a particular area of dentistry, consider joining me and other quality people in this unique endeavor!

2 Essential Success Traits

I attended a regional dental meeting with my husband a few weeks ago and made some curious observations I’d like to share with you today.

As a Dental Practice Management Consultant, it is important to me to stay on top of the very latest techniques in my field.  Since I was not speaking at this event, but am very well-versed in the topics offered, I attended a few courses with a different objective than usual; pure observer.  I usually sit in the front, eagerly taking in everything the speaker has to say.  Since I’ve heard it all at this point, I chose to sit in the back, and observe the dentists and their teams, in an attempt to see how I might meet the needs of my audiences in the future.  What a different perspective!

You see, as you might suspect, I’m one of those people who believes that everything and anything is possible.  I believe that failure is to be expected and is merely a stepping stone to greatness.  I live very little of my life in fear, which tends to terrify my mother.  (How ironic is that?)

As I listened to the conversations going on all around me, I discovered that everything I’ve ever learned, and have taught to others myself, about the significance of a positive, can-do attitude, is absolutely TRUE!

Isn’t it funny how you can believe in something, but not really know it until you have the proof displayed right in front of your face?  But I guess that what faith is, isn’t it?  However, seeing evidence, first hand, is really an eye opener.  Let me explain.

I observed two key characteristics among the successful dentists, versus the ones who are struggling.  The first will not surprise you, it was attitude.  The dentists who were saying positive things about their life, their work, their practices, their teams, and just making positive statements in general, appeared to be happy, calm, at peace, enjoying their journey, and successful.  They eagerly shared their earnings, their goals, and interestingly, their tips and what they’ve learned.  Yes, they even talked about the things that they’d tried that didn’t work for them.  Like certain marketing strategies, consulting companies that made big promises but didn’t deliver, but the wording they used to describe these “negative” experiences was upbeat which reflected the general outlook of the person speaking.  For example, instead of saying, “Oh, stay away from that company.  They are bad news!  They took me for x amount of dollars and when I asked for my money back, they disappeared.”  I heard things more along the lines of, “Well, we tried that approach, but it didn’t work for us.  And I think it was probably because . . .”  The person went on to explain more or less that it was no one’s fault, it just didn’t work.  They learned from it, and moved on.

The second significant trait that I noticed among the successful entrepreneurs is that they were willing to invest in themselves and their businesses.  I know a lot of struggling dentists who believe that everything should be handed to them on a silver platter the instant they graduate from dental school.  The successful dentists I know realize that it doesn’t work that way.  You have to continue to educate yourself, upgrade your knowledge beyond what is required, and consistently put a significant amount of your earnings back into your business.  It doesn’t matter how long they’ve been in practice, successful dentists are constantly upgrading their equipment and skills.

The third and most shocking observation I made was that many of the participants where not dentists, but dental team employees who had come to the meeting on their own.  Not only were the not being paid to be there, but they had paid for their entire trip themselves.

I had a client tell me not to long ago that she had purchased my collections system with her own money.  In fact, her dentist even told her that my system would not work.  But she believed it would, bought it herself, put it into practice, and was telling me how much success she had had with it.  To be honest, it really upset me at first.  I felt sorry for this woman at having to spend her own money on something her employer should have gladly purchased for her, and then to find out that he had such a negative attitude.  But it didn’t seem to be bothering her, so I didn’t say anything.  Now I realize that she’s one of those people – like me – and many of you – who believes in doing things for themselves.  I can certainly see how many people would think, “But it was his business she was investing in.”  Yes, but she was also investing in herself.  This woman paid $400 so that she could feel better about herself and have more confidence in herself while at work. (Abraham-Hicks fans, think “downstream.”)  She can now take the knowledge, practical experience, and huge success she had implementing that system and market herself very successfully to other dental practices.  Trust me, she’d be snapped up in no time flat.  Think of the leverage that gives her.  When you invest in yourself, even if it seems like it’s in the best interest of your employer, it will also ultimately benefit you.  Investing in yourself always pays huge dividends.

In summary, here are two essential traits for success:

  1. Believe that anything is possible.
  2. Be willing to invest in yourself and your business, regardless of whether you are the business owner, or “just” an employee.

I guess I’ve really always had faith that a positive attitude was key to success.  I believed all the motivational speakers when they said this was so.  It certainly seems to have worked for me over the past 40 years.  (Yes – I turned the big 4-0 last Friday, April 11, 2008.)  And although I haven’t been too stingy with money, I haven’t invested as much in myself as I should have over the past three years of developing my business.  That’s going to change, starting today.

My challenge to you for today is to find a way to invest in your future.  Whether it’s going back to school, taking a continuing education course, or attending a success retreat to help you get it all sorted out, make a decision today and commit to it.  You’ll be glad you did.
